Moving On Process

This document details how we should be moving people on within the group. So, everyone follows the same format.

  1. All sections are to set estimated dates that the young person will move on to the next section. Using the “Section Size Planning” on OSM. This will allow the next section to see when roughly people will be moving on.
  2. Ideally, Young People to move up at half-terms or full terms to give a clear transition date. They would also ideally do their transitions prior to the move update. The amount of transition period is to be agreed between the sections, anything ranging from 4 weeks to 7 weeks.
  3. The term/half term prior to the ideal move update the leaders of the sections involved to agree to the move update and agree when the transition period will begin.
  4. The section they are leaving will then email the Parents/Guardians involved and confirm they are happy to move up on the agreed date.
  5. The section they are leaving then shares the Young Person to the other section for them to make contact about starting. If there isn’t at least 2 weeks between the Young Person being shared and them starting their transition, then the transition is to be rearranged.
  6. The Section excepting the Young Person is to change the start date to the actual start date.

Ages that Young people should be moving up:

Beavers to Cubs: 7 ½ – 8 ½ Years Old. Ideal being 8 Years Old

Cubs to Scouts: 10 – 11 Years Old ideal being 10 ½ Years Old

There is a Year buffer to allow the leaders of the section to agree a suitable date so that they can complete badge work if partly completed.

(All of this is the Ideal and hopefully can be achieved in most cases however there will be cases that this may have to be altered depending on individual circumstances.)

Notes:

  1. Once you add a new member to your section they are automatically added to Distribution Lists (The process happens every night).
  2. You will need to invite them to the OSM System as they will be automatically have there data checked as soon as they are on the section.
